Junior Administrative Assistant
This role is responsible for providing exceptional organisational, administrative, and legal secretarial support to the fee earners of the Paris office.

The role
The Junior Administrative Assistant is responsible for providing exceptional organisational, administrative, and legal secretarial support to the fee earners of the Paris office, and has strong organisation skills, a professional demeanour, a positive attitude, and team spirit.
Responsibilities will include but are not limited to:
- Managing extensive travel arrangements, including sourcing, and booking hotels and transport, applying for visas where applicable.
Under the supervision of PAs, supporting the fee earners by assisting in completion of:
o various financial tasks (e.g. time recording, billing, chasing clients on unpaid invoices, processing expenses, reconciling transactions etc.).
o personal administrative formalities (liaising with accountants and other experts to follow-up on personal income and other taxes, renewal of professional licenses and certifications etc.). - Document production, including re-formatting complex and lengthy documents.
- Preparing hard-copy documents and bundles and managing stock levels in the production room and elsewhere in the office.
- Internal and external events organisation (organising team social events on- and off-site; assisting with other external events…).
- Other administrative assistance as necessary: book couriers, assist with meeting room set-up, receive visitors, prepare hard copy documents (binders or spiral-bound), send/receive packages, cover for colleagues when absent or on leave.
- Assisting with reception duties. Meeting and greeting clients, and other visitors, in a professional manner.
- Office Maintenance: Ensure the office is kept tidy and organised. Prepare the meeting rooms, monitor the meeting rooms schedule to assist (launch video conference, prepare catering…)
- Restock printers with paper.
- Document management and security: organising and maintaining hard copy and electronic files. Assist with archiving and disposing of confidential documents.
Skills and knowledge:
- Exceptional organisational and administrative skills.
• Strong interpersonal skills: ability to build good working relationships with colleagues and third parties (suppliers, service providers…)
• Bilingual in French and English. Additional language skills are a plus.
• Excellent written and verbal communication skills, and the ability to relate to people at all levels within the Firm.
• Demonstrable experience of dealing with confidential information and always maintaining a high level of integrity.
• Ability to prioritise own workload in order to juggle conflicting demands, process last-minute requests and meet deadlines.
• Experience of working in a busy and pressurised environment; ability to remain calm under pressure.
• Ability to problem-solve independently by using internal resources (archived emails and other documents, resources on the Firm’s Intranet…)
• Good judgment and decision-making ability.
• The aptitude to work both independently and collaborate as part of a team.
• Excellent attention to detail.
• Positive attitude with a practical, common-sense approach; adaptable and resilient.
• Excellent understanding of all Microsoft Office applications (Word, Excel…), including strong document production skills
• Willing and able to learn how to use iManage, Adherent and other software as necessary.
• Experience of working in a law firm (preferred) or another professional services environment.
• Flexibility to work overtime when necessary (standard hours are 9:30am to 6:00pm Monday-Thursday and 9:30am to 5:30pm on Friday)
